HOW TO BOOK
We need to register you with FAMLY, which is our parent portal and booking system. To get started, simply click the “ Holiday Club Registration” button, and we’ll set up a profile for your child or children and send you an invitation to begin.
PLEASE NOTE: Our admin person works on Mondays and Tuesdays, so it may take at least a week to set up the registration. If you don’t receive your famly login details after 10 days of sending the form in, please email admin@outtherekindergartens.co.uk
Once you can access your child's profile page, you can click the 'request care’ button, which brings up a calendar. Please only book one holiday club at a time. As soon as one holiday club period is finished, we will start taking bookings for the following holiday club.
You will also need to fill in the details on your child's profile page so we have their emergency contacts and any other important information you need to pass on. This includes checking the relevant permissions.
For more help and information, please click on the question mark in the top right-hand page of your child's profile page on famly. This brings up the help section. Scroll down to the parent help section and click on communication. This will bring up ‘parent requested booking' and there is a demonstration of how to make a booking.
Once you have requested care, we will check availability and approve it.
PAYMENT
You will receive an invoice immediately after your booking has been approved. This invoice must be paid immediately to secure your booking and guarantee your space. Payments are made in accordance with our cancellation policy.
Payment can be made directly through the FAMLY app. When making a payment this way, it automatically clears the balance from your account.
If making payment more than 14 days in advance of the holiday club, you can also pay with vouchers or tax-free childcare credits. Our Ofsted number is EY546746, and the postcode BS4 4DY.
PLEASE NOTE: IF MAKING A PAYMENT 14 DAYS OR LESS BEFORE THE HOLIDAY CLUB START DATE, YOU CAN ONLY PAY DIRECTLY THROUGH FAMLY USING A DEBIT OR CREDIT CARD.

Important Information & FAQs - Holiday Club
How to find us
Out There Forest School Holiday Club at Eastwinds Activity Centre, St Anne’s Terrace, BS4 4DY
Please note that there is no parking on St Anne's Terrace or at East Winds. The road is narrow and steep, so please refrain from driving your car down it. We recommend parking on St Anne's Park Road or Wick Road and walking down St Anne's Terrace.
Follow the steep lane down past the terraced houses. You'll find East Winds Activity Centre on your left at the bottom of the hill. You will see the big green gates at the entrance and our 'Out There' sign.
Polite notice: We want to respect our neighbours’ privacy and keep noise and traffic to a minimum. We appreciate your cooperation.
ARRIVAL and DEPARTURE
Please ensure your child arrives in outdoor clothing suitable for the weather forecast, as they will be outside for the majority, if not all, of the day. Except on very hot days, we ask that children wear waterproof overalls on arrival and either wellington boots or covered-toed, waterproof sandals. This means that upon arrival, they are almost ready to go to the woods and can participate in any water play activities. For more info, see ‘what to wear’ below.
On arrival, a member of the team will welcome you at the main gate and sign your child in for the day on our famly app. We encourage all parents to drop their child off at the gate.
Please feel free to collect at any time between 15.30 and 17.30 unless by special arrangement. If there is no one at the main gate, please ring the bell, and someone will come to the gate.
Only nominated individuals listed as contacts on 'famly' will be allowed to collect your child. Please inform us beforehand if you need someone else to pick up your child. If they’re not on 'famly' as a contact, we’ll need them to have a collection password which we will agree upon.
ROUTINES
When children arrive we will greet them at the gate and a member of the team will settle them in to playing in the front area of the scout hut.
We will take their packed lunch to either put in the kitchen or the trolley.
Children will be allocated a box for the rest of their belongings which they will share with one other person.
We get ready to go the woods at around 9.30 and aim to leave just before 10 am. Our Forest School sessions take place in the mornings.
We return to the scout hut for lunch around 12.30.
Afternoon activities take place in the garden.
Children on a 'school day' are collected at 15.30.
We have afternoon snack at around 16.00.
If you wish to collect early, children can be collected from the scout hut anytime after 12.30.
Please make sure you arrive to collect your child no later than 17.25.
What to wear/bring
In SPRING/SUMMER
Lightweight (long) trousers or leggings
Long-sleeved T-shirt
Lightweight waterproofs
Wellies or closed-toe, water-proof shoes
Sun hat
Sun cream applied before arriving
In AUTUMN/WINTER
A heavy-duty waterproof jacket (with hood) and trousers, along with a warm jumper/fleece
Layers of clothing: including a long-sleeved top and trousers/leggings (we don’t recommend jeans as they get cold and take ages to dry when wet)
Hat, gloves, and scarf (if the cold weather warrants it)
Warm wellies or winter snow boots
ALL YEAR ROUND - A CHANGE OF CLOTHES
A spare change of clothes, including socks and underwear, a long-sleeved top or jumper, and trousers/leggings

PACKED LUNCH AND SNACKS
We’ll provide a tasty, healthy, and organic mid-morning and afternoon snack. Please bring a healthy packed lunch and a water bottle (please label these items). We always provide plenty of fresh water to drink. Please note that we have a no-nuts policy. During the summer months, please make sure you pack a small ice pack in their lunch bag.
PERMISSIONS
We require you to give permission for the following:
If necessary, my child may receive plasters, antiseptic wipes, and other emergency treatments from a trained paediatric first aider.
If necessary, the child may be taken by ambulance to Accident and Emergency.
Photographs may be taken and shared on our website and other promotional platforms.
I give permission for my child to go on local trips to St Anne's Woods, Nightingale Valley Woods, and the local park, all within a 10-15 minute walk.
I give permission for good-quality, high-protection sun cream to be applied when the weather is sunny.
The permission can be found on your Famly account. Some of the permissions are for our Kindergarten parents, and this should be clear.
POLICIES AND PROCEDURES
These can be found here. Please note that these policies apply to both our Kindergarten and Holiday Club. Some parts may not be relevant to the holiday club, but the majority will be applicable.
We ask that you read the policies and then confirm you have done so. Please review the sickness reporting policy.
Toileting
There are children’s toilets on site at the scout hut, which children can use either independently or with support from an adult, depending on their age. In the woods, we have set up a toilet tent away from the main play area. The toilet tent enables children to use the travel potty. We also support children in going wild if that is their preference. For more information, please refer to our toileting policy.
ticks
We have had several reports of ticks being found on children when they return home. It’s essential to be aware of this. That’s why we ask children to wear long trousers and long-sleeved tops. Please check your children thoroughly upon their return home. Ticks like warm, dark places, so check under the armpits and in the groin area. Follow this link for advice http://www.bada-uk.org/correct-tick-removal.
CONTACT NUMBERS
We will share the contact numbers with you via famly or email should you wish to get in touch on the day.
Please note that the reception at the scout hut and in the woods isn't great. Please bear with us if we don't answer and leave a message so that we can get back to you.
If you wish to speak to the registered person of Out There Forest School and Kindergarten, please call 07948 674811.
What parents have to say about our Holiday Clubs.
-
Incredible. Super caring, flexible, child-centred approach. Children have the freedom to explore as they wish, with adults supporting and inspiring the children in a very intuitive, sensitive way. My son has evidently become more self-confident and at-one in the outdoor environment.

I just want to say I think Out There is wonderful for my children. Even my youngest, who moans when it’s cold, loves it. I can see such a difference in how happy they are, and how much more they are offered, which is amazing

My daughter loves her time at Out There, especially in the woods sliding down the muddy slopes! She’s very excited to be spending a couple of days with you guys at half term. Keep up the good work
